The prestigious educational institution, serving a vital role in the state's public university system, which includes 10 campuses, 5 medical centers, and 3 affiliated national laboratories.
As the institution continued to grow, managing its large and complex infrastructure, which supported over 3,300 users across 63 Jira project became increasingly challenging.

Large Volume of Data
The migration process involved over 1 million records, spanning both standard data and complex Xray Test Management entities. Additionally, essential tools like Gantt Suite, ScriptRunner, and Dynamic Forms, heavily customized to meet the institution's needs, had to be migrated without compromising performance or data integrity.
Cross-Project Dependencies
Among the 63 Jira projects, 24 were dedicated to Xray Test Management, with 11 projects deeply interconnected. Preserving these relationships during migration was critical to ensuring operational continuity and requiring detailed planning and coordination.
Complex Customizations
Several tools, including ScriptRunner, Jira Misc Workflow Extensions (JMWE), JSU, and Jira Workflow Toolbox (JWT), were extensively customized to align with the institution’s workflows. Migrating these tailored configurations posed significant technical challenges.
Achieving Efficient Large-Scale Migration with Optimized Planning
Multiple dry-run migrations were conducted to identify potential issues and safeguard data integrity. These simulations allowed us to anticipate and resolve any challenges before the full migration.
The migration was phased, starting with independent projects, followed by 24 Xray-focused projects, ensuring minimal disruption and operational continuity.
We closely collaborated with Atlassian and Xray support to resolve technical issues, especially during the complex Xray migration.
